About the Role:
As Manager of Spa Operations, you will exemplify and uphold Forbes Five‑Star service standards, delivering a refined, anticipatory, and highly personalized guest experience within a world‑class luxury resort environment. This role demands exceptional communication and problem‑solving capabilities, impeccable discretion, and an unwavering commitment to gracious, professional services. The Manager of Spa Operations engages confidently with discerning guests, resolving needs with poise while consistently modeling elevated luxury service behaviors.
Reporting to the Spa Director the Manager supports the day‑to‑day leadership and performance of spa operations, including colleague training and development, product and inventory oversight, payroll coordination, scheduling, financial reporting, and operational execution. The role partners closely with hotel leadership and People & Culture to ensure seamless integration with hotel operations while maintaining clear accountability to spa brand standards and expectation policies, procedures, and governance.
This position is responsible for ensuring strict adherence to all federal, state, and local regulatory requirements—including OSHA, life safety, and emergency procedures—while consistently aligning with Forbes Five‑Star criteria, hotel and operational standards and compliance expectations.
Core Responsibilities
Guest Experience & Luxury Service Standards
- Anticipate guest needs and deliver refined, personalized service consistent with Regent and Forbes luxury standards.
- Actively engage with guests to ensure satisfaction and address service recovery issues promptly and professionally.
- Resolve guest concerns with discretion and empathy, documenting follow-up as required.
- Maintain a visible leadership presence in guest-facing spa areas to model service excellence.
Spa Operations & Daily Leadership
- Support daily spa operations, including opening and closing procedures and Manager-on-Duty coverage, as needed.
- Conduct daily inspections of treatment rooms and spa facilities to ensure cleanliness, readiness, and presentation standards.
- Ensure spa equipment and facilities operate optimally and coordinate maintenance or repairs as necessary.
- Provide operational support to the Spa Front Desk when required to ensure service continuity and labor efficiency.
- Collaborate with hotel departments to ensure smooth guest flow, communication, and service delivery.
Colleague Leadership, Staffing & Performance Management
- Assist with recruiting, interviewing, hiring, onboarding, and training spa colleagues.
- Support the Spa Director in supervising, coaching, and developing spa colleagues to promote engagement, accountability, and retention.
- Assist with performance evaluations, corrective coaching, counseling, and documentation in accordance with IHG and hotel HR policies.
- Participate in daily stand-ups, departmental meetings, and ongoing colleague communications.
- Serve as a liaison between spa leadership and spa colleagues to ensure clarity, alignment, and engagement.
Training & Brand Standards
- Ensure spa colleagues are trained on and compliant with all service protocols, SOPs, and brand standards.
- Support ongoing Forbes-related training and Regent service culture initiatives.
- Assist in maintaining training materials, schedules, and documentation in collaboration with spa leadership.
- Ensure all service providers maintain current licenses and certifications in compliance with state and regulatory requirements.
Safety, Sanitation & Regulatory Compliance
- Ensure compliance with OSHA, state governing boards, and local health and safety regulations.
- Maintain high standards of sanitation, cleanliness, PPE usage, and infection prevention.
- Support compliance with hotel emergency procedures, safety protocols, and regulatory reporting requirements.
Financial, Payroll & Reporting Support
- Assist with payroll review and labor management to support budgeted targets.
- Develop a working knowledge of spa financial performance, including labor, expenses, and operating results.
- Support preparation and maintenance of daily, weekly, and monthly operational reports.
- Assist with cost-control initiatives related to labor, supplies, and operational expenses.
Inventory & Product Oversight
- Maintain appropriate inventory levels for retail, professional products, and treatment rooms.
- Conduct regular inventory counts and spot checks to ensure accuracy and availability.
- Coordinate product replenishment and documentation in accordance with hotel procedures.
What We need from you:
- Minimum of 2-year college associate’s degree preferred.
- Minimum of 2 years of Spa Manager/Supervisory experience.
- Must be able to stand for long periods of time.
- Must be polished, professional, and have a strong command of both written and verbal English.
- Must have a flexible schedule, including days, nights, weekends, and holidays.
- Prior experience with Book 4 Time, Booker and Spa Soft spa software preferred.
- Proficient in Microsoft Office suite (specifically Outlook, Word, Excel, and PowerPoint).
- Prior experience with Book 4 Time, Booker and Spa Soft spa software preferred.
- CPR and First Aid certified desirable.
- Must be organized, timely, and detail oriented.
- Able to work varied shifts including holidays and weekends.
What you can expect from us:
The salary pay range for this role is $70,000.00 to $85,000.00. This range is only applicable for jobs to be performed at Regent Santa Monica Beach. This position is eligible for bonus pay.
