About the Role
IHG Hotels & Resorts – Malta is seeking to recruit a detail-oriented and proactive HR Coordinator to join its HR Team.
The selected candidate will be supporting the day-to-day HR operations, ensuring smooth execution of HR processes, and maintaining accurate employee records. The HR Coordinator will work closely with the HR team to provide administrative support across the full employee lifecycle, ensuring compliance, efficiency, and excellent employee service.
Key Responsibilities
- Maintain and update employee personnel files, HR databases, and HR systems with accuracy and confidentiality.
- Prepare HR documentation including contracts, letters, and certificates as required.
- Assist in administering benefits, leave records, attendance, and other HR-related documentation.
- Support payroll preparation by providing accurate employee data and updates on the Payroll and Time & Attendance systems.
- Assist in the onboarding and offboarding process, ensuring all documentation and procedures are completed on time.
- Support HR compliance by preparing reports and ensuring adherence to policies, procedures, and local employment regulations.
- Coordinate medical, visa, insurance, and other employee-related documentation (as applicable).
- Provide administrative support for employee engagement initiatives and HR communications.
- Act as a first point of contact for HR administrative queries, ensuring timely and professional responses.
- Support HR projects and audits as required.
Requirements
- Diploma/Degree in Human Resources, Business Administration, or related field.
- 1–3 years of experience in an HR administrative role (hospitality industry experience an advantage).
- Strong organizational skills with attention to detail and accuracy.
- Proficiency in MS Office (Word, Excel, Outlook).
- Ideally having previous experience using Shireburn Indigo
- Knowledge of local employment laws and HR best practices.
- Excellent communication and interpersonal skills.
- Ability to handle sensitive and confidential information with discretion.
- Strong time management and ability to prioritize tasks effectively.
