Group Reservations Agent

InterContinental Adelaide is looking for a Group Reservations Agent to manage group bookings post-contracting through to post stay reconciliation. This role will be based in reservations, but work closely with the Sales, Revenue and Operations teams to ensure all group bookings and group needs run smoothly from end to end. This role is important in protecting hotel revenue, managing room availability, and supporting efficient hotel operations.

Your Day to day:

• Manage group bookings post-contract, ensuring accuracy, documenting ongoing changes with approvals, and communicating to relevant stakeholders.
• Manage room blocks, rates and cut-off dates, in line with contracted terms.
• Monitor group pickup and proactively manage attrition risks, proactively escalating exposure to leaders as needed.
• Track, invoice, and allocate group deposits in line with hotel policies and contract terms.
• Manage group cancellations and reductions, ensuring compliance with contractual agreements.
• Coordinate the receipt, review, and accurate upload of rooming lists within agreed timelines.
• Act as the liaison between all departments for all group-related matters including but not limited to presenting in weekly meetings any status changes, group risks and upcoming operational considerations.
• Complete post-stay reconciliation, ensuring accuracy, and preparing invoices in a timely manner to ensure commissions are processed correctly for travel agent and third-parties.
• Resolve post-stay queries and discrepancies in collaboration with Finance and Sales.

What we need from you:

• Exceptional attention to detail and accuracy, particularly in data entry and financial processing.
• Strong written and verbal communication skills with the ability to liaise with multiple stakeholders.
• Previous experience in hotel reservations, group reservations, or group sales role.
• Proven ability to manage multiple priorities simultaneously in a fast-paced environment.
• Strong organisational and problem-solving skills to proactively manage risks and priorities.
• Experience with hotel PMS systems such as Opera (or similar) is highly regarded.
• Exposure to a large or high-volume hotel environment and an understanding of group revenue principles is advantageous.
