The Events Planning Executive is responsible for coordinating and executing all aspects of events and functions within the hotel, ensuring flawless service delivery and memorable guest experiences. This role involves close collaboration with clients, internal departments, and external partners to deliver exceptional events aligned with the hotel’s standards and brand image.
Your day to day
Event Coordination & Planning

Handle event inquiries, proposals, and confirmations for weddings, corporate meetings, private parties, and special occasions.

Work closely with clients to understand their requirements, budget, and preferences to design customized event solutions.

Prepare detailed event orders, floor plans, and timelines.

Coordinate pre-event meetings and walkthroughs with clients and internal teams.
Execution & Operations

Oversee event setups and ensure all arrangements are executed according to agreed specifications.

Liaise with departments such as F&B, Housekeeping, Front Office, and Engineering to ensure seamless event delivery.

Supervise events on-site, acting as the main point of contact for clients.

Ensure all safety, hygiene, and service standards are maintained throughout the event.
Sales & Revenue

Support the Events Manager in achieving revenue targets through effective upselling of event services and packages.

Prepare event costings, quotations, and contracts.

Follow up on payments, deposits, and billing in coordination with the finance team.
Guest Relations & Communication

Maintain strong relationships with existing and potential clients to encourage repeat business.

Handle guest feedback promptly and professionally.

Assist with post-event evaluations and reporting.
Administration & Reporting

Maintain accurate records of all event details and communications.

Prepare reports on event performance, guest satisfaction, and financial outcomes.

Stay updated on market trends and competitor activities to enhance event offerings.
What we need from you

Bachelor’s degree in hospitality management, Events, or a related field.

Minimum 2–3 years of experience in event planning or coordination, preferably in a luxury or resort environment.

Strong organizational and multitasking abilities.

Excellent communication and interpersonal skills.

Proficiency in MS Office and hotel event management systems (Opera / Delphi or similar).

Attention to detail and ability to work under pressure.

Flexibility to work evenings, weekends, and public holidays as required.

Creative, energetic, and guest-oriented.

Strong problem-solving and decision-making skills.

Professional appearance and demeanor.
