Position Summary:
The Regional Coordinator, Mexico, Latin America, and Caribbean (MLAC) serves as a vital member of the team, supporting the planning, coordination, and execution of regional committee and member engagement initiatives. This role provides administrative, logistical, and communications support to ensure effective collaboration among Owners, IHG partners, and Association leadership. The coordinator will assist in organizing meetings and events (virtual, hybrid, and in-person), managing membership activities, and facilitating clear and timely communication across the MLAC region. Fluency in Spanish and English—both written and verbal—is required to ensure accuracy and consistency in communications, materials, and stakeholder interactions. The ideal candidate is highly organized, detail-oriented, and collaborative, with the ability to manage multiple priorities and foster strong relationships across diverse cultural and business environments.
Key Tasks and Activities:
Meetings: Support the planning, organization, and logistical execution of the MLAC Committees (virtual, hybrid, or in-person).
Liaise with vendors, venues, and service providers as needed.
Oversee event timelines, materials preparation, and on-the-ground support during event delivery.
Maintains annual meeting and events calendar for the MLAC countries, in collaboration with the Director, Meetings & Events and IHG
Assists with managing the MLAC Committee meetings and Working Group Meetings, which may include the following specific tasks:
Coordination and setting of agendas and presentations in collaboration with the regional stakeholders, the Chairs and Vice Chairs, and with IHG presenters
Preparation of meeting materials
Take accurate minutes during meetings and ensure timely follow-up on action items
Interfacing with IHG to assemble follow-up actions and distribute to MLAC Committees
Coordination of events in conjunction with IHG Conference, in collaboration with IHG
Maintaining the IHGOA designated system with up-to-date committee rosters, distribution lists, confidentiality agreements, committee tenures and absentee tracking
Assists with planning in-person meetings and summits, including but not limited to setting up event space, coordinating with hotel for meeting requirements, coordinating F&B with hotels or off-site spaces, arranging travel for owners, IHG, IHGOA staff and/or guest speakers, coordinating Allied Member involvement and overall budget.
Lead discussions with the MLAC committees as needed
Ensure alignment between the committee members, IHGOA team and IHG team.
Membership: Lead and manage the membership process for the assigned region, acting as the primary point of contact for prospective and existing members including the following specific tasks:
Maintaining the membership databases for IHGOA members and Allied Member Program
Processing new member package mailings and membership information mailings
Ensure all membership documentation and onboarding steps are completed efficiently and accurately
Workingwith the Membership team in Atlanta to increase membership through marketing and promotional campaigns Coordinate with the global membership team to align tools, processes, and templates, and contribute to continuous process improvements
Assist with member calls and questions
Processes membership payments and maintains billing for IHGOA memberships
Assist with maintaining an MLAC-specific Allied Member Program (vendors/suppliers) to generate additional revenue in MLAC, in collaboration with the Global Partnership team
Communication and Standards: Coordinates with the Global Communications team for region-specific communications and coordination of global communications
Translate key materials, presentations, and communications from English to Spanish with a high level of accuracy and contextual relevance.
Collaborate with the Communications team to ensure consistency in tone and messaging across languages.
Assists in communication between Global Committees and Regional Committee and all owners in the region
Communicates with current and prospective owners, Allied Members, IHG and IHGOA staff on a regular basis through email and calls

Computer literacy and ability to leverage IHGOA systems and processes. Strong office software skills, including Microsoft O365, Salesforce.com, Cvent.com and database administration experience.
Proven ability to build and manage client relationships, including internal teams and external members
Strong collaboration skills; ability to drive internal/external alignment across multiple stakeholders
Vendor management, budgeting, and negotiation skills. Experience with event planning and logistical coordination.
Education and Work Requirements
A bachelor’s degree in a relevant field of work or an equivalent combination of education and work-related experience is preferred.
A minimum of two years of work-related experience is required, with demonstrated proficiency in multiple disciplines and processes related to the position, including meeting/event management, sales, hospitality industry exposure, and administrative activities. More experience is preferred.
Knowledge of IHG hotels is preferred. Bilingual in English and Spanish with the ability to read, write and speak both languages. In addition, Portuguese fluency is preferred.
Travel Requirements
Work is typically remote and performed in the employee's home office environment. External meetings with IHGOA staff are required on a daily and bi-weekly basis.
Travel for meetings with owners, Allied Members and IHGOA staff is required periodically. Up to 35% of job duties require travel, primarily to the MLAC Committee Meetings and Atlanta
