New Enquiries Handling & Closure
• Ensure all events enquiries are handled within Meetings Success standard procedures and always meet 2 hour turn-around standard.
• Follow up on sales leads and business quoted to ensure business is secured. At all times understanding the client’s needs whilst optimizing the hotel revenue through strategic yield management and up-selling of hotel facilities or service.
• Ensure all activities related to Crowne Meetings Cycle are being followed in the day-to-day activities.
• Support the Hotels Sales Team with site inspections, client entertainment, familarisations and other events that form part of the sales and marketing revenue plan.
• Make commercially astute decisions to convert business
Event Planning and Follow-up
• Facilitate weekly banquet meeting, residential conference/wedding run-down meetings.
• Ensure all activities related to Crowne Meetings Cycle are being followed in the day-to-day activities.
• Ensure that all client requirements have been confirmed and that these details are accurately and thoroughly communicated to the hotel operations in a timely manner.
• Act as the primary point of contact for detailed meeting/residential conference/event planning, working closely with Banquet Operations, F & B management, Reservations, Rooms Division operations, Finance and external suppliers.
• Manage the standards and procuderes of the department, for instance, ensuring that business has been signed prior to commence planning
• Manage the rooming list process.
• Co-ordinate the allocation of space for the conference and associated events.
• Ensure effectie and productive coordination and service delivery with AV supplier
• Ensure regular client contact when meetings/events are in-house and ensure all hotel operational details are executed correctly.
• Ensure correct and accurate billing and confirm with client upon conclusion of event.
• Follow up with client to obtain event feedback and identify further business opportunities within 48 hours.
Sales & Marketing
• Accurate forecast and budget all meeting/residential conference/event business.
• Participate in sales and revenue meetings.
• Understand the seasonality of the business and develop pricing plans to balance yield and volume.
• Manage, maintain and update the meetings and events database.
• Contribute actively to the compilation of annual business plan, strategic sales and marketing or customer relations management (CRM) plans.
• Keep abreast of competitor activities to ensure our product and services are ahead of competition.
• Provide creative input into Meetings/Residential Conference/Events/Weddings Product Development to maintain a point of differentiation by developing innovative product and revenue opportunities.
• Ensure compliance to Crowne Plaza Keys mandatories (Crowne Plaza Brand Standards) and implementation of new standards or training programs related to Crowne Meetings Cycle.
• Monitors and updating of Competitor’s Activities in order to create a Point of Difference to remain competive in the market.
• Maintain and develop contacts with business generators, meeting and conference planners, visitors/Conference Bureau, travel agents, tour operators, airlines and corporate accounts.
