Planning & Coordination:

  • Assist DBD on marketing plan, monthly forecast and market intelligent for the Sales Department.
  • Ensure significant data for department is tracked and reported accurately to support administration of the Sales functions into Sales Systems. 
  • Responsible for mandatory training as well as utilize all necessary tools in Merlin accessible. 
  • Maintain close co-ordination with respective departments on special requirements.
  • Work closely with various departments to ensure quality service is delivered at all time.
  • Handle the assigned tasks for DBD to complete and report the status on timely basis. 
  • Lead the sales teams to finish the daily routine duties for completing with monthly and quarterly targets.

Sell hotel products and focus on Rooms:

  • Sell all hotel products, focus on room sales and achieve individual targets.
  • Solicit new business through sales call, tele-sales, sales blitz and overseas sales call.
  • Adhere to contract standards and policies in order to maintain consistencies and to reduce customer claims and complaints.
  • Participate in negotiation or re-negotiations, i.e., proposals, contracts to meet clients’ request and maximum the revenue.                     
  • Schedule to meet corporate guest in house to building and strengthen relationship. 
  • Up-sell room, R&B product and hotel facilities and other direct and ancillary services 
  • Visit corporate account according to schedule. Arrange sales blitz in the potential area and sales call or sales blitz in some potential big city
  • Maintaining long-term relationship and promote with enrollment IHG Business Rewards for meeting planners and local bookers. 
  • Attend to some kinds of association to get business leads for hotel.

Past Events information to Gathering and Events partner or follow the sales lead:

  • Ask sales leads information from client by sales call, tele-sales or sales trip.
  • Share the information with Gathering and Events partner for further follow up.
  • Follow the sales lead directly for the case with rooms and meeting together, get support from Gathering and Events partner if necessary. 
  • Prepare Group Action Plan and send it the concerning departments three working days in advance.
  • High light the details during the rundown meeting.
  • Meet meeting organizers and introduce gathering services upon check in.

Accounts Management:

  • Assign accounts by DBD to ensure every territorial town and specific accounts are covered and periodic sales calls to be conducted.  Joint-sales calls with catering sales team as often as possible.
  • Enhance the reputation and visibility of the hotel in the context of Sales services by working closely with MARCOM to attain maximum promotion and exposure of facilities.
  • Represent the hotel as key contact with corporate account and local community organizations (For commercial nature)
  • Up-sell hotel products, focus on rooms whenever possible.
  • Assist DBD to arrange annual activities to potential customers for building rapport and maintaining the business relationships.
  • In-charge of key accounts (Gold Accounts, RFP) with closely communication with KAD team.

Internal Departmental Coordination and Communication:

  • Maximize utilization of available services and resources Communication               
  • Resolve operational challenges, finalize plans and arrangements and coordinate integration of required services on a timely basis.
  • Ensure Group Action Plan is updated and pass it to the concerning departments on time.
  • Check and follow the no-show report and give feedback to DBD on the following day.
  • Ensure revised booking or cancellation is updated by Reservation and logged on business lost report. Especially some special issues.
  • Ensure daily arrival clients’ room arrangement and VIP set up and the other special requirement is followed well. Meet VIP client upon their arrival. Also inform DBD to greet depends on situation. Inform FOM about VIP arrival time and other important information.
  • Collect market intelligent for analyzing the markets trend by DBD.

Forecasting & Recording of Results:

  • Maintain tracing/tracking system for contracted prospects/future business in Salesforces systems. 
  • Produce and submit recurrent statistical reports etc.
  • Produce frequent weekly forecasts and monthly forecast and updating in sales weekly highlight sheet. 

Supports Sales & Marketing Functions:

  • Working closely with MARCOM and R&B for the market feedback, in order to work out trendy R&B etc. concept or promotions
  • Conduct in house site inspection and participate in closing proceedings
  • Conduct product knowledge skill training to sales associates

Fire & Life Safety/Loss Control Standards:

  • Assist DBD for departmental compliance with IHG Fire & Standards Life Safety / Loss Control Standards
  • Conduct inspections of work and guest contact areas as required
  • Record retention
  • Investigate incidents / accidents
  • Rectify hazardous areas as advised by the Fire & Life Safety Officer

PEOPLE:

  • Develop Marketing team to be pro-active, self-reliant team members who focus on delivering the right hotel image, in order to position the hotel in the market for guest, colleagues and owners
  • Support the Director of Human Resources / Human Resources Manager in the promotion of the use of the IHG people tools across the hotel, making in particular sure that meaningful performance reviews are carried out in time and result in personal development plans that help our colleagues to be the best they can be.
  • Provide particular guidance to the hotel’s Marketing team, ensuring that they work focused, with clear goals and targets in order to support the positioning of the hotel in the market.
  • Work with the overall team to create a working environment that is focused on great performance with visible, constant improvement.

GUEST EXPERIENCE:

  • Build, maintain and present the hotel to potential, right media, in cooperation with the Sales team, ensuring that the way the hotel is being presented is in line with the brand positioning of Hotel Indigo.
  • Ensure together with Sales team that the guest expectation has been meet at all times and is in line with Hotel Indigo standards and local SOPs
  • Ensure that the communication between Marketing team and operations team is correct, fast and clear in order to deliver the right message to market.

RESPONSIBLE BUSINESS:

  • Identify opportunities & implement activities that support the IHG Academy and IHG Shelter in a Storm.
  • Work with the team to limit any negative impact on the environment, promoting active participation of the team in any initiative that is connected to activities for the environment.

ACCOUNTABILITY
This role drives revenue growth by selling hotel products, managing key accounts, and achieving sales targets.
