POSITION OVERVIEW:
This challenging role has an overall responsibility for the organization, prioritization and coordination of all administrative activities related to the support of the hotel’s General Manager. You will provide full administrative support to General Manager ensuring the efficient management of information, including emails, and filing, in a prompt and professional manner including the composition of responses at own discretion, where appropriate.
DUTIES & RESPONSIBILITIES:
- Maintain the utmost confidentiality and discretion when handling business affairs.
- Co-operate, co-ordinate and communicate with Department Heads and other inter-departmental secretaries as appropriate.
- Day to day administrative work to include typing, filing, faxes and answering telephones.
- Distribution of memos, letters and other information as requested.
- Daily preparation of hotel guest amenities and greeting cards.
- Prepare a variety of correspondence, reports, and/or presentations, including expense reports
- Organize and expedite flow of work; follow-up on pending matters
- Communicate and interpret instructions; and communicate information to colleagues, clients and/or vendors based on the General Managers direction.
- Maintain the General Manager’s appointment calendar.
- Coordinate telephone/conference calls and incoming mail
- Set up and maintain filing systems
- Maintain an organized, clean, and professional work area.
- Other duties as assigned.
QUALIFICATIONS:
The ideal candidate has a minimum of three years in a Personal or Executive Assistant role where experience has been gained in all aspects of administrative work.
- The ability to exercise complete confidentiality and diplomacy
- Well-developed written, verbal and interpersonal skills.
- Proficiency in all programs within the Microsoft Suite
- Strong formatting skills with PowerPoint and Microsoft Excel
- The ability to handle multiple assignments
- Planning and decision making skills
- Attention to detail and accuracy in all aspects of the role.
- Ability to deal with people at all levels with professionalism and tact
- Ability to cope and maintain calm under pressure.
